THE CHALLENGE

Two people answered all day. Mostly the same answer.

At VIP Health Clinic the phone and WhatsApp never stopped, and two people existed mainly to keep up with them. When they were with a patient, the next question waited — sometimes for hours — even though it was almost always one they had already answered that morning.

WHAT WE BUILT

01THE PATTERN

Eight in ten conversations were the same.

Before building anything we looked at what reached the front desk: 80% of the conversations were the same handful of questions, answered by hand, one call at a time, by two people who could have been doing something else.

MAPPED THE QUESTIONS

Before writing a line.

80% WERE REPEATS

Same answers, all day.

CLINIC’S OWN ANSWERS

Written from its policies.

02THE PHONE

Answered right away, and never guessed.

The phone is now answered by an AI agent that speaks only from the clinic’s knowledge base, so the information is always the clinic’s own. The patient gets the answer in seconds — and the agent never makes one up.

PHONE ANSWERED

No hold, no voicemail.

GROUNDED ANSWERS

Only from the knowledge base.

IN SECONDS

Not hours later.

03WHATSAPP

The same answers, on WhatsApp.

Patients who prefer to text get the same knowledge base on WhatsApp. One source of truth for both channels, so the answer never depends on who picked up or which channel the patient chose.

ONE SOURCE, TWO CHANNELS

Phone and WhatsApp.

TEXT OR CALL

The patient chooses.

UPDATED ONCE

Both channels follow.

04THE TEAM

Two people, back to the business.

The two people who spent their day repeating answers moved to sales. The clinic’s social media runs on its own too, so the staff stays focused on patients instead of on admin.

HOW WE KNOW

The 80% is the share of the clinic’s conversations that were repeat questions when the project started. The two people moved to sales are the clinic’s own staffing change. The agent answers from the clinic’s knowledge base only; it gives no medical advice.
